When recurring invoices make sense
Recurring invoicing is useful for retainers, maintenance, subscriptions and other work billed on a predictable schedule. It is less suitable when scope, quantity or approval changes every period.
What to define before automating
- Client and billing entity
- Description of the recurring service
- Amount, currency and applicable VAT
- Frequency and next invoice date
- Payment terms and delivery method
Review before the billing date
Automation should not make an invoice invisible. Check contract changes, pauses, credits and client details before the next cycle. Keep a clear way to deactivate or amend the schedule.
Track each generated invoice separately
Every occurrence should have its own number, dates, document and payment status. The recurring rule explains what should happen; the issued invoice remains the actual business record.
Use software when the spreadsheet becomes repetitive
A dedicated recurring invoice workflow reduces copying while preserving a reviewable invoice history.
